Guidelines for posting to the NCAC mailing list

This is to answer the questions that most users have when sending a message to the NCAC mailing list or when what they have sent has been bounced back.

  1. Sending non-text attachments is forbidden.

    The reason they are forbidden is that because these formats are usually large and might contain executable instructions (virus). It's usually never necessary to send a Word document to everyone. Consider reformatting the contents into enriched or plain text and sending. This usually saves an order of magnitude of storage and everyone will see your message quicker because all mail clients have an option to see plain text and don't need to open Word.

    If you don't think it's worth your time to do this conversion, it's probably not worth the time of 60 other people to open it and read it.

    Sending an all text e-mail of your announcement also means that someone can search the body of their messages and actually find it. Non-text e-mails are nearly impossible to search.

  2. LIST module(list ncac) reports:
     Your message size (75K) is bigger than
     the allowed maximum for the list (30K)
    

    Almost no large document ever has to be broadcasted to the entire center. E-mail is duplicated to each recipient when it is sent. Consider the difficultly of sending 100 people a box of papers over a single page letter. If the document cannot be converted to a enriched or plain text e-mail, consider making a PDF and posting it on your web site and just sending the URL.

  3. Sending Word documents in E-mail.

    Word documents are editable and require Word to be opened. When someone opens it, they can edit it and it's a mess. Considering making a PDF, which is usually smaller, more portable, and the contents are frozen in the file just the way you want them to be.

  4. Be careful when you send messages.

    You will look like a dolt if you reply to a center wide announcement with a message directed to the sender.
